For Prasena, managing the organization consists in establishing a clear, complete and accurate inventory of all aspects of human resources: who they are (competencies), how many they are (headcount), what they have to do (responsibilities), what their relative impact is (grades) and how precious they are for today and tomorrow (talents). Such inventory is the foundation of HR management and yet, in many companies, much remains to be done to secure its availability:

Responsibilities Management
responsibilities_managementResponsibilities Management consists in understanding what needs to be done in the organization (roles, responsibilities, detailed processes and concrete outputs) and in allocating identified responsibilities to onsite or virtual positions, which must each represent a coherent set, and which interrelations must reflect work flows.

Prasena assists the HR function in:
• Providing a methodology for roles analysis and responsibilities mapping, and facilitating these exercises conducted by the Executive Committee
• Providing a form and procedure for position description, training line managers to complete the form on the basis of responsibilities mapping, controlling that each benchmark position is associated with an up-to-date description, and ensuring that all employees understand and agree with their position description
• Securing and power-using an HRIS solution to facilitate and integrate the entire process.

Headcount Management
Headcount Management consists in assessing what would be the optimal headcount on the basis of workload required by each responsibility, considering business strategy, available budgets and designed organization chart, and striving to minimize variances between actual and budgeted headcount.

headcount_managementPrasena assists the HR function in:
• Facilitating headcount budgeting conducted by top and line management
• Securing and power-using a Headcount Management system (database with statistics, ideally integrated with personnel administration and/or payroll systems)
• Monitoring real-time update of the system, and maintaining employee codes
• Producing and communicating statistical reports and updated detailed organization charts.

Grading Management
Grading Management consists in evaluating the relative importance of each position within the chart regardless its location or hierarchical level, grouping positions, which relative importance is comparable, within grades, and designing the most adapted organization chart by reference to business strategy and corporate culture.

• Providing references (structuring models, professional position evaluation systems) for the Executive Committee’s decision
• Facilitating position evaluation exercises conducted by evaluation committees
• Designing, maintaining and using the grading structure, verifying that position titles are aligned with grades
• Securing and power-using an HRIS solution to facilitate and integrate the entire process.

Competencies Management
Competencies Management consists in identifying the main areas of knowledge, ranges of know-how and types of behaviors that the organization needs to survive and succeed over time, assessing what is specifically required for each position, and evaluating in this perspective the strengths and weaknesses demonstrated by actual and potential resources.

• Facilitating the competencies dictionary’s design by the Executive Committee
• Providing a form and procedure for position profiling, training line managers to evaluate required competencies
• Providing a form and procedure for person evaluation, organizing the exercise (360°) and consolidating results
• Securing and power-using an HRIS solution to facilitate and integrate the entire process, producing and analyzing demonstrated vs. required competencies mappings.

Talent Management
Talent Management consists in clarifying corporate culture and values, identifying the type of people most critically important for the organization and finding who among current employees fulfill the eligibility criteria, and designing and implementing specific programs aiming at attracting and retaining these “talents”.

• Securing and power-using an HRIS solution to facilitate and integrate the entire process
